Food and Beverage Administrative Assistant

The Food and Beverage Administrative Assistant plays a vital role in the facilitation of administrative duties, ensuring seamless operations within the department. This position is responsible for new hire processing, meeting planning and recording, drafting of purchase request forms, issuance of departmental pay roll, and data analysis as directed by the Food and Beverage Director. The administrative assistant will also be responsible for communicating the needs of the department to Santa Clara Development Corporation (SCDC) and interacting with departmental staff to address their needs in a timely manner.
Key Responsibilities- Utilize effective time management techniques to maintain organized files, gather reports, and ensure all licensing and certifications are up to date.
- Gather variance reports, weekly management reports, comp reports, and other necessary reports.
- Coordinate interviews, new hire processing, and training of staff in conjunction with management.
- Provide ongoing communication with exempt and non-exempt staff regarding upcoming meetings, events, and promotions.
- Schedule and coordinate staff and other meetings.
- Coordinate ADP trainings with Human Resources.
- Record necessary notes, ideas, or policy changes as directed or deemed necessary by the director.
- Adhere to administered controls for all phases of the Hospitality entities in an economical and profitable manner while maintaining established standards.
- Ensure timely posting of all labor schedules.
- Enter all food and beverage orders provided by management.
- Enter and submit monthly inventories.
- Perform other duties assigned by the Food and Beverage Director, Human Resources, and SCDC leadership.
- High School Diploma or equivalent.
- Associate degree in business preferred but not required.
- One year of previous administrative experience, preferably in the food & beverage industry.
- Excellent communication skills, highly organized, detail-oriented, and maintain confidentiality within the department and company.
- Computer-literate with appropriate software.
- Bi-lingual preferred.
