Job Summary

We are seeking a highly organized and detail-oriented Clerical Support Specialist to join our team at Katy Independent School District. The successful candidate will provide administrative support to our Diagnostic Specialists and Speech Language Pathologists, ensuring the smooth operation of our assessment and evaluation processes.

Key Responsibilities
  • Assist in maintaining a confidential audit folder filing system and ensure systematic access by school and district personnel.
  • Prepare paperwork for initial referrals and reevaluations, ensuring accuracy and attention to detail.
  • Assist in assembling audit folders on new referrals and newly enrolled special education students, maintaining confidentiality and organization.
  • Order special education supplementary forms and organize storage, ensuring easy access and compliance.
  • Assist with obtaining special education records on new transfer students, maintaining confidentiality and accuracy.
  • Assist with monthly input of data on a Microsoft Excel Support Log and submit to the Director of Special Education, ensuring timely and accurate reporting.
  • Assist in scheduling ARD meetings with campus and related services staff and parents/guardians/adult students, using Microsoft Outlook Calendar notices to ensure timely communication.
  • Assist in completion and dissemination of ARD Committee notices on the SEAS computer program, ensuring accuracy and compliance.
  • Secure trained interpreters for evaluations and ARD meetings requiring interpretation, ensuring accessibility and equity.
  • Provide assistance to evaluation personnel in contacting the parent/guardian to encourage attendance at ARD meetings, maintaining a positive and supportive tone.
  • Assist with maintenance of a file folder/notebook of completed PEIMS documentation, ensuring accuracy and organization.
  • Assist with exchange of audit folders between campuses and the Education Support Complex, maintaining confidentiality and efficiency.
  • Attend scheduled Diagnostic Clerk training meetings, staying up-to-date on best practices and procedures.
  • Assist with an annual inventory of testing equipment, ensuring accuracy and compliance.
Requirements

To be successful in this role, you will need:

  • College hours, high school diploma or GED
  • Proficient typing, word processing, and file maintenance skills
  • Working knowledge of English grammar, spelling, and math
  • Excellent organization, communication, and interpersonal skills
  • Accuracy in record keeping and form completion
  • Ability to keep information confidential
  • Bilingual certification required for respective positions
