Overview:
The Financial Collections Specialist will play a crucial role in supporting the Accounts Receivable Manager by ensuring the effective and timely collection of overdue invoices for Blue Star Partners LLC. This position is essential for sustaining the organization’s cash flow by reducing overdue accounts and maintaining precise financial documentation. The Specialist will engage in daily interactions with clients to collect overdue payments, address payment discrepancies, and execute various accounting functions vital to the Accounts Receivable process.
Key Responsibilities:
- Initiate daily communication with clients to collect overdue invoices.
- Utilize written correspondence via fax, email, etc., to resolve outstanding or disputed invoices.
- Investigate payment discrepancies related to disputed deliveries, returns, and credits that may lead to overdue balances, resolving issues promptly.
- Conduct monthly billing procedures.
- Manage accounts through the Letter Series process.
- Maintain customer master data in billing records.
- Process credit card transactions on a daily basis.
- Record cash receipts through daily bank deposits.
- Provide support in various areas to the Accounting Manager as needed.
- Make weekly adjustments to accounts.
- Batch and process invoices for various divisions daily.
- Document collection efforts and account statuses meticulously.
- Complete specific account analyses, month-end procedures, statements, aging reports, and ad-hoc reports.
Qualifications:
- Associate's Degree in Accounting or equivalent experience.
- 3-5 years of experience in Accounts Receivable and collections within a company generating at least $10 million in annual revenue.
- Proficient in accounting software, Excel, and Microsoft Word.
- Strong knowledge of 10-key and computer keyboard operations.
- Ability to multitask and manage various details/accounts and multiple projects simultaneously.
- Capable of working independently as well as collaboratively within a team.
- Self-motivated, detail-oriented individual who can thrive in a fast-paced environment.
- Consistently meet daily and weekly deadlines.
- Effectively manage priorities and communicate issues clearly to management.
- Excellent communication and problem-solving abilities.
- Collaborate closely with management and sales representatives regarding account statuses and issues.
