Client Relations Specialist (Private Wealth Management)

Position Overview:

The Client Relations Specialist in Private Wealth Management will undertake client support responsibilities. This role's primary focus is on coordinating activities for Advisors and executing direct client service tasks to achieve corporate goals and standards.

Role Responsibilities:

Client and Advisor Assistance

  • Responds to client inquiries via calls and emails, ensuring timely and accurate completion of service requests, including distribution requests, account maintenance, and trade reviews.
  • Manages Advisors' schedules, organizing client and prospect meetings.
  • Coordinates travel arrangements for Advisors.
  • Prepares reports, marketing materials, and meeting agendas.
  • Maintains compliance logs and documents client interactions in the CRM system.
  • Organizes and plans client events.

New Client Onboarding

  • Creates and maintains client records in the CRM and with the broker dealer.
  • Prepares necessary paperwork for new client accounts.
  • Follows up with clients and Advisors to gather any missing information.

Sales Support

  • Assists Advisors throughout the sales process using CRM tools.
  • Prepares materials for client meetings and maintains electronic files for prospects.

Team Collaboration

  • Participates in regular meetings with Advisors and contributes to team discussions.
  • Maintains data integrity through regular audits of the CRM.

Qualifications:

  • High School Diploma or equivalent required.
  • 3+ years of experience in a client service role within an investment advisory context preferred.
  • Proficient in Microsoft Office Suite and CRM software.
  • Strong analytical skills and the ability to manage multiple tasks effectively.
  • Excellent communication skills, both verbal and written.
