Job Summary

We are seeking an experienced Administrative Support Specialist to join our team at the Touchstone Community Facility. As an Administrative Support Specialist, you will provide direct and confidential administrative support to the Administrator, including maintaining confidential administrative files, file maintenance, word processing, spreadsheet, and presentation development.

The ideal candidate will have excellent office skills, take initiative in daily work, maintain confidentiality, and have a desire to make an impact on the lives of the youth we serve.

Key Responsibilities
  • Convey professionalism in interactions with the public, colleagues, youth, and families; answer telephones, direct calls, or forward messages and schedule interpreters.
  • Back-up Approver to the Facility Administrator and Supervisor in Leave Tracker, also correcting errors in time card/leave entries.
  • Schedule and confirm monthly and yearly work orders, maintain database for appropriate billing.

Additionally, you will assist with HR activities like paperwork and scheduling interviews, and maintaining and balancing resident account ledgers.

Requirements
  • One year of experience as an Administrative Assistant 1
  • A Bachelor's degree in business administration, public administration, or closely allied field, and two years of responsible experience at the senior clerical level or higher.
  • Clerical or office work may substitute year-for-year for education. Graduate study may substitute year-for-year for the experience.

Foreign Equivalency certification must be attached to the application for degrees obtained outside the U.S.

  • Excel, Visio, Microsoft Word, and WebEx.
