Job Description

Job Summary:

The Executive Support Specialist will provide administrative support to executives and their teams, ensuring the ongoing productivity and effectiveness of the organization. This role involves providing high-level administrative and project support, working closely with cross-functional teams to achieve business objectives.

Key Responsibilities:

  • Administrative Support: Provide administrative support to executives and their teams, including calendar management, travel arrangements, and expense reporting.
  • Project Support: Assist with project planning, coordination, and execution, including creating agendas, coordinating meetings, and preparing materials.
  • Communication: Develop and maintain effective communication with key stakeholders, including executives, team members, and external partners.
  • Documentation: Create, collect, and maintain internal resources and documentation on collaboration sites.
  • Travel Arrangements: Arrange travel reservations, technology, and meeting logistics, ensuring cost savings for the company.
  • Expense Reporting: Code and submit expenses and invoices to the appropriate business area(s), and report budget variances regularly.
  • Vendor Management: Work with the Vendor Management Office and Legal Department to initiate non-disclosure agreements, contracts, and service level agreements with external parties.

Requirements:

  • Education: Associate's degree in a related field required, Bachelor's degree preferred.
  • Experience: Minimum of three years of experience supporting executives in a fast-paced, innovative atmosphere.
  • Skills: Proficiency in common software applications, including MS Office Suite, Outlook, PowerPoint, SharePoint, and Visio.
  • Personal Qualities: Interact with a positive attitude, professionalism, and discretion with the ability to create and maintain relationships with a wide range of stakeholders at all levels of the organization.
