Job Overview

Position Summary:

This role involves various administrative tasks that support the operational efficiency of the organization. Key responsibilities include:

  • Conducting data entry for bulk transactions associated with specific unit codes, ensuring accuracy and timely completion.
  • Editing and merging PDF documents as requested by program staff and contract personnel.
  • Monitoring workflow within the PTS inbox to guarantee that tasks are executed by all involved parties.
  • Comparing contract data collection spreadsheets with current PTS data to verify correctness.
  • Reviewing budgets in EIM to confirm they are in pending status for contracts undergoing changes.
  • Delivering necessary paperwork to designated locations as required.
  • Copying and printing documents from shared drives and emails as needed.
  • Assembling packets and making copies as required.
  • Extracting procurement documents from designated folders and uploading them for contract processing.
  • Entering PC encumbrance data in PTS after verification by contract staff.
  • Assisting in the follow-up of tasks that need to be submitted or completed by various staff members to ensure timely contract transactions.
  • Supporting the Director of Contracts and Payments with contract-related activities and other assignments as directed.

Required Skills:

  • Proficiency in Microsoft Excel, Word, and Outlook.
  • Experience in office administration.
  • Ability to pass a background check.
