Position Overview:

The role of Personal Assistant to an Executive Board Member at SAP is designed to empower you to showcase your skills in a collaborative environment. Our organizational culture is centered around teamwork and a collective commitment to enhancing global operations.


Team Dynamics:

The Board Office comprises a dedicated group that assists an Executive Board Member with daily operations and strategic initiatives. This team includes personal assistants, business assistants, customer office personnel, and members of the strategic projects group.


Key Responsibilities:
  • Collaborate closely with the Senior Executive Personal Assistant, who serves as the primary contact for scheduling and calendar management.
  • Efficiently manage the calendar, coordinating meetings for the Board Member, ensuring all logistical arrangements are in place, such as reserving appropriate meeting spaces.
  • Organize travel logistics, including preparation and follow-up on travel-related expenses.
  • Provide comprehensive administrative support for local events hosted by the Board Member, including workshops and customer engagements.
  • Independently monitor tasks and manage reminders effectively.
  • Handle internal and external communications with a high degree of professionalism.
  • Oversee purchasing activities, including creating shopping carts, reporting, and tracking purchase orders, as well as managing related expense claims.

Qualifications:
  • A minimum of 1 year of experience in a similar capacity.
  • Availability for in-office support five days a week.
  • Exceptional organizational abilities and innovative problem-solving skills.
  • Capacity to thrive in a fast-paced environment and respond to direct feedback.
  • Demonstrated flexibility, proactive approach, independent work ethic, and strong teamwork capabilities.
  • Outstanding interpersonal, networking, and communication skills, with the ability to engage confidently with all levels of management.
  • Proficient in multitasking and delivering high-quality results under tight deadlines in a complex setting with minimal supervision.
  • Commitment to maintaining the highest standards of integrity and confidentiality.
  • Strong proficiency in MS Office applications.
  • Familiarity with Concur Travel and Expense is advantageous.
