Executive Receptionist

We're seeking a highly skilled and organized Executive Receptionist to join our team at HomeServices of America, Inc. This is an exciting opportunity to work in a dynamic and fast-paced corporate office environment.

Key Responsibilities:
  • First Impressions: Greet visitors, provide direction, and ensure a welcoming atmosphere in our reception area.
  • Communication Expertise: Answer multiple phone lines with courtesy and speed, route calls to the right extensions, and take accurate messages.
  • Email Management: Handle the company's general email inbox with efficiency and discretion.
  • Relationship Building: Develop strong relationships with executives, employees, agents, and contractors through effective communication and engagement.
  • Event Planning: Assist the Executive Assistant and Human Resources team with event planning, including ordering food and beverages.
  • Supply Chain Management: Manage supply orders to ensure a well-stocked reception area.
  • Recognition and Rewards: Organize recognition items for employees and realtors.
  • Calendar Management: Schedule appointments for multiple conference rooms and maintain accurate and up-to-date calendars.
  • Project Support: Assist departments such as Human Resources, Marketing, and Agent Development with ongoing projects.
  • Mail and Delivery: Manage incoming and outgoing mail and handle deliveries.
  • Design and Visuals: Utilize online design programs for various projects.
  • Office Maintenance: Maintain a professional appearance of all office common areas.
Requirements:
  • Administrative Experience: Two years of administrative experience or equivalent background working in a professional office environment.
  • Technical Skills: Proficient with Microsoft applications: Outlook, Word, Excel, PowerPoint, and Adobe Acrobat Pro.
  • Soft Skills: Strong communication and organizational skills, attention to detail, ability to prioritize and handle multiple tasks and projects, and strong customer service skills.
  • Desirable: Knowledge of real estate is desired but not required.
