The Executive Assistant to the President plays a pivotal role in supporting the President while fostering a culture of professionalism and positivity. This position provides essential administrative support to the executive team, ensuring effective management of schedules and travel arrangements. The role also includes comprehensive assistance to the Board of Trustees, which involves preparation and management of meetings, recording minutes, and liaising with board committees.

Key Responsibilities:

  • Oversee daily operations for the President, including managing communications and greeting visitors.
  • Assist in the management of the Board of Trustees, including meeting preparations and documentation.
  • Coordinate with various stakeholders to manage appointments and optimize the President's and CFO's schedules.
  • Handle all travel logistics for the President and CFO, including accommodations and itinerary changes.
  • Prepare weekly briefing reports highlighting action items.
  • Support event planning and project management, collaborating with various departments.
  • Communicate on behalf of the President and CFO with internal and external parties.
  • Draft correspondence and manage expense reporting.
  • Attend meetings as needed, taking notes and following up on action items.
  • Assist with fundraising and university advancement activities as directed.
  • Maintain organized and confidential records and documentation.
  • Exercise discretion in managing sensitive information.
  • Perform additional duties as assigned.
Qualifications

Required Skills:

  • Bachelor's degree or equivalent experience.
  • At least three years of experience in a similar role.
  • Exceptional time management and customer service skills.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, SharePoint, and OneNote.
  • Strong research and organizational skills.
  • Ability to work collaboratively with diverse groups.
  • Attention to detail and ability to handle confidential matters.
  • Excellent written and verbal communication skills.
