Job Summary:

The Real Estate Office Manager is responsible for overseeing the daily operations of the office, ensuring smooth and efficient workflows, and supporting the team in various administrative and client-facing tasks. This role involves managing property listings, assisting with marketing efforts, ensuring compliance with legal requirements, and maintaining strong client relationships.

Key Responsibilities:
  • Operational Management: Manage day-to-day operations of the real estate office to ensure smooth and efficient workflows.
  • Policy Implementation: Assist in implementing office policies, rules, and regulations in compliance with local and federal real estate laws and industry best practices.
  • Client Engagement: Assist in follow-up on leads and maintain strong relationships with clients and other industry professionals.
  • Customer Service: Have excellent customer service skills, addressing any concerns or issues promptly and professionally.
  • Marketing Support: Coordinate the preparation, posting, and updating of property listings on multiple platforms.
  • Listing Management: Gather all listing information including property photos, pre-listing materials, comparative market analysis, and MLS research.
  • Documentation: Acquire necessary signatures for each listing agreement, sellers' disclosures, and other required documentation and send to the real estate broker for file compliance.
  • Social Media: Post new listings to social media and in MLS to facilitate quick sales and enhance the customer experience.
  • Marketing Materials: Assist in producing marketing materials including brochures, flyers, online marketing content, and social media posts to continuously build the brand.
  • Transaction Support: Assist in checking each document to verify it has all the correct signatures and dates to ensure a smooth transaction process.
  • Deadline Management: Complete paperwork for all real estate transactions in a timely manner to ensure deals are closed as quickly as possible.
  • Regulatory Compliance: Monitor deadlines and provide notices to appropriate parties when necessary.
  • Regulatory Knowledge: Ensure each transaction complies with legalities and that any tax withholdings are complete.
  • Scheduling: Assist in scheduling necessary appointments with all parties, including open houses and final walkthroughs.
  • Industry Knowledge: Address and resolve any regulatory issues, staying up-to-date on industry changes and trends.
Qualifications:
  • Experience: Proven experience in real estate office management or a related role.
  • Organizational Skills: Strong organizational and multitasking skills.
  • Communication Skills: Excellent communication and customer service abilities.
  • Technical Skills: Proficiency with real estate software and tools.
  • Regulatory Knowledge: Knowledge of real estate laws and regulations.
