Role Summary
The Overnight Client Services Specialist plays a vital and detail-oriented role within our veterinary practice. This position involves delivering and sustaining the highest standard of professional and personalized service, whether in person, over the phone, or via email. Success in this role requires a deep understanding of client and patient needs, fostering ongoing relationships with both internal colleagues and external clients. We aim to provide innovative, comprehensive service solutions for our clients' pet care needs. We seek individuals who can manage multiple tasks, collaborate effectively, and grow alongside our practice.
Key Responsibilities
- Assist clients with their check-in and check-out processes.
- Provide support and address inquiries from clients through face-to-face interactions, phone calls, chat, and email.
- Guide clients through the admission process for their pets, discussing financial options, deposits, and expectations.
- Maintain and update client and patient records accurately.
- Communicate any special requirements or inquiries from clients to the staff, pet owners, and veterinarians.
- Handle incoming calls, schedule appointments, and respond to client questions.
- Ensure the hospital's appearance is well-maintained, both inside and outside.
- Manage scan files, referral requests, pet insurance claims, record requests, and faxes.
- Engage in training and continuing education opportunities.
- Support the CSR Lead as needed.
Qualifications for Success
- Minimum of 2 years of experience in a veterinary hospital setting.
- At least 1 year of experience in a client service role, with proficiency in managing multi-line phone systems, obtaining medical records, and client interactions.
- Familiarity with EzyVet and Vet Radar software is a plus.
- Team-oriented individuals who excel at building strong client relationships.
- Strong organizational skills and the ability to handle multiple tasks efficiently.
- Excellent communication and listening abilities.
- Critical thinking and exceptional problem-solving skills.
- Ability to remain calm and professional in high-pressure situations.
- Capable of working independently as well as collaboratively within a team.
- Detail-oriented, punctual, and dependable.

Schedule
- Full-Time Overnight Position
