Position Summary

Sibylline seeks a skilled professional to oversee daily operations and account management for our embedded services program, primarily focusing on the Americas region. This role, based in the United States, will report to the Senior Embedded Operations Manager and will be responsible for managing operational tasks and leadership duties for designated teams while enhancing the overall quality of service, training, innovation, and continuous improvement.

The Embedded Intelligence Services Manager will engage with a diverse array of clients across various sectors, with the roles and functions of our embedded teams reflecting this diversity. Each embedded deployment is customized to meet client needs, and the approach of the Embedded Operations Manager must align accordingly. This role serves as the critical link between the embedded team, the client, and Sibylline.

Successful candidates will exhibit versatility, balancing management responsibilities, client relations, service enhancement, financial oversight, and ensuring that embedded personnel receive clear guidance, processes, and policies. Outstanding leadership capabilities, comfort with multitasking, and the ability to address complex challenges with patience and resilience are essential. The Embedded Operations team is a vital resource for advice, training, and development for our embedded staff; candidates must possess a keen understanding of the diverse requirements of private-sector intelligence teams and inspire our embeds to deliver innovative solutions for our clients.

Key Responsibilities

People Management:

  • Conduct regular check-ins with embedded teams to ensure effective communication and escalate any issues to relevant stakeholders.
  • Provide leadership and direction to embedded teams, focusing on skill development, efficiency, morale, and well-being.
  • Proactively address performance, staffing, or resource challenges, keeping both Sibylline HQ and client contacts informed.
  • Guide embedded teams in developing products, processes, and business partnerships, ensuring key service deliverables are achieved.

Program Management:

  • Participate in regular meetings with Sibylline stakeholders to discuss recruitment progress and other routine matters.
  • Collaborate with Embedded Operations colleagues and other branches to refine policies and processes for managing the embed program.
  • Assist the Senior Embedded Operations Manager and Head of Embedded Operations in implementing quality service and continuous improvement initiatives.

Account Management:

  • Oversee the operational management of assigned client accounts, including supporting the Senior Embedded Operations Manager in transitioning and onboarding new teams.
  • Develop and monitor Key Performance Indicators (KPIs), lead quarterly business review meetings, and address client inquiries and feedback promptly.
  • Ensure accurate monthly invoicing based on staffing changes, expenses, and other billable items.

Recruitment:

  • Create job descriptions, assessments, and presentation briefs for new and existing embedded hires.
  • Act as the hiring manager or support embedded team leaders in the hiring process, coordinating with HR to finalize hiring decisions.
  • Communicate recruitment progress with relevant stakeholders.

Resources, Training, and Mentoring:

  • Develop and maintain knowledge of Sibylline's products and services to share resources and expertise with embedded teams.
  • Manage career progression for embedded team leads and provide tailored mentorship to address individual development needs.
  • Assist in the creation and delivery of intelligence training programs.
  • Support the Head of Embedded Operations in maintaining a centralized Intelligence Hub for collaboration and resource-sharing.

Occasional Functions:

  • Assist the Relationship Branch with business development and contribute to proposals.
  • Participate in industry conferences and seminars for professional development and to enhance the Sibylline brand.
Qualifications

Skills and Experience:

  • University degree in Security Studies, International Relations, Business Management, Communications, or a related field; a demonstrated interest in corporate security and global affairs is essential.
  • 5-7 years of experience in a dynamic commercial environment, including at least two years managing a global team.
  • Strong understanding of the intelligence consulting sector, particularly in corporate security, investigations, and risk management.
  • Global experience and cultural sensitivity, with the ability to manage diverse teams and build positive relationships.
  • Commercial acumen, with experience in client account management and engaging with senior decision-makers.
  • Proficient in HR processes, particularly in employee relations and standards.
  • Proactive, self-assured, and capable of working independently with minimal supervision.
  • Able to manage multiple tasks and adapt to new, time-sensitive challenges.
  • Competent in handling confidential information and data.
  • Advanced proficiency in Microsoft Office tools, including Excel, PowerPoint, and Word.
  • Fluent in English, both written and verbal, with exceptional attention to detail.
  • Strong organizational and planning abilities.
  • Authorization to live and work in the United States.
  • Willingness to travel domestically and internationally as required.

Preferred Qualifications:

  • Advanced degree (Master's or higher) in a related field.
  • Familiarity with corporate security environments, such as control centers or crisis management teams.
  • Experience in developing and delivering training in intelligence or related fields.
  • Experience in managing financial spreadsheets and invoicing.

Successful candidates will be invited to complete a writing assessment to evaluate their writing skills. Shortlisted applicants will then be invited to a final panel interview. All interviews will be conducted virtually.

The compensation for this role is negotiable based on qualifications, aptitude, and experience, with a salary range of $90,000 - $110,000 per year.
