Job Description

Gray Hawk Land Solutions is currently seeking a highly organized and detail-oriented Document Specialist to join our team. As a Document Specialist, you will play a critical role in the success of our pipeline right-of-way projects.

Key Responsibilities:
  • Project Management: Maintain accurate and current information on the overall status of the project, ensuring timely completion and adherence to project timelines.
  • Document Preparation: Prepare and process right-of-way acquisition easement documents, including land acquisition agreements, easements, and lease documents.
  • Document Management: Maintain hard files, including easements, lease documents, real estate deeds, and various other documents relating to ownership and rights.
  • System Administration: Create system line lists as requested, conduct in-house ROW and title searches, and scan documents into client systems of record.
  • Metadata Management: Add specific metadata to documents in client systems of record.
  • Review and Analysis: Review and understand land acquisition agreements, and provide recommendations for improvement.
  • Technical Skills: Proficient in Microsoft Office software, including MS Excel and MS Word, and have an excellent understanding of database entry.
  • Communication: Excellent written and verbal communication skills, with the ability to work effectively with a wide variety of users.
Requirements:
  • Experience: Minimum of three (3) years of preparing and processing ROW acquisition easement documents on ROW projects.
  • Education: Bachelor's degree in a related field or equivalent experience.
