Your New Role...
The Senior Executive Coordinator will deliver high-level administrative support to an Executive Vice President and a Vice President, while managing the operations of the department effectively.
Key Responsibilities...
- Manage executive calendars and facilitate group meetings, prioritizing essential issues and information to enhance decision-making efficiency.
- Make informed decisions regarding meeting requests and optimize schedules to ensure maximum productivity.
- Organize and coordinate meetings and conference calls as directed, including logistics such as room bookings, catering, and visitor access.
- Prepare and draft correspondence, presentations, and analytical reports, ensuring all necessary materials are available for stakeholders.
- Oversee the general operations of the respective departments for each Executive, ensuring smooth workflow and communication.
- Coordinate procurement processes for technology and external staffing partnerships.
- Arrange travel logistics for Executives, including detailed itineraries, transportation, accommodations, and meeting schedules.
- Process accurate expense reports post-travel and assist in training new hires on internal processes.
- Manage departmental expenses and collaborate with relevant teams on office planning and facility management.
- Participate in the administrative team’s coverage of front desk operations.
Qualifications and Experience...
- A minimum of 3 years of experience in providing high-level executive administrative support.
- Ability to adapt to shifting priorities and deadlines with ease.
- Strong interpersonal and organizational skills are essential.
