Job Overview

Position Summary:

The Billing Specialist is responsible for reviewing corporate job files and managing billing processes. This role involves processing accounts payable invoices and maintaining comprehensive job documentation. The ideal candidate will demonstrate meticulous attention to detail and possess strong time management skills.

Key Responsibilities:

  • Examine incoming job file documentation for precision and generate complete and accurate invoices upon receipt of shipping notifications.
  • Handle vendor invoices related to job files in accordance with company policies and procedures.
  • Address vendor inquiries pertaining to job files.
  • Execute assigned tasks during month-end closing activities.
  • Support special projects as required.
  • Collaborate with the Sales Department to ensure data accuracy in job files.
  • Provide relief for the Switchboard operator when necessary.
  • Process UCC1-UCC3 filings.
  • Maintain a tidy work environment and adhere to safety policies and procedures.

Month-End Duties:

  • Reimburse petty cash expenses.
  • Adjust classifications on the 'Equipment Sales Report' once all billing is finalized.
  • Summarize deferred maintenance and internal parts sales accounts.
  • Input 'First of the Month' payable entries.
  • Process account information for self-imposed and CFPM sales tax journal entries as per instructions.
  • Handle prepaid accounts journal entries according to provided guidelines.
  • Upon receipt of bank statements, enter service charges into the journal entries.
  • After completing journal entries, generate sales and use tax reports for relevant states.
  • Reconcile all designated accounts.

Year-End Duties:

Ensure all designated accounts are balanced, update reports, and submit all necessary data to the audit coordinator.

  • Complete and dispatch personal property tax statements.
  • Finalize annual sales/use tax returns for the State of Michigan.

Insurance Management:

Oversee tracking of all company-owned vehicles and ensure proof of insurance is maintained.
