We are seeking a highly skilled and experienced Executive Assistant to join our team at Na Ali'i Consulting & Sales, LLC. as a member of the Pacific Enterprise Services – Hawaii (PES-HI) Telecommunications Support Services Program within Defense Information Systems Agency Pacific (DISA PAC) Code PC4.
Key Responsibilities- Provide administrative support to senior leadership, including coordinating meetings, preparing correspondence, and maintaining records.
- Assist in the coordination and scheduling of meetings with various stakeholders, including military departments and external partners.
- Prepare and review correspondence, ensuring adherence to Department of the Navy standards and formatting.
- Maintain and track all correspondence in a centralized location.
- Input data and maintain the PES-HI financial budget database, providing a monthly financial budget report to the Government.
- Update databases, including following up with financial technicians and clarifying financial information to close out prior years' funding.
- Coordinate with the Comptroller's Office to ensure data accuracy and consistency.
- Conduct inventory and management of office supplies, including researching quotes and preparing purchase orders.
- Facilitate technical training schedules and prepare travel itineraries for applicable personnel.
- Provide support to MILDEP customers with telephone/transport provisioning requirements and prepare monthly billing invoices.
- Calculate invoices according to individual Service rates and generate reports.
- 5-10 years of experience providing executive support and office management.
- Proficient computer skills and in-depth knowledge of relevant software, including MS Office Suite.
- Knowledge of standard office administrative practices and procedures.
- Bachelor's degree preferred.
- Experience in or work for the U.S. military or DoD is highly desirable.
- Ability to perform repetitive motions with the hands, wrists, and fingers.
- Ability to engage in and follow audible communications in emergency situations.
- Ability to sit for prolonged periods at a desk and working on a computer.
