Job Description

Job Title: Purchasing Coordinator

Overview: This role involves executing a variety of data management tasks, including the creation and upkeep of parts, entering cost data, generating reports, developing spreadsheets, and collecting data. Additionally, this position alleviates the manager's workload by handling clerical and minor administrative tasks as outlined below.

Key Responsibilities include, but are not limited to:
  • Overseeing the Corporate Master Part File. Aids in the formulation of new part descriptions using Manufacturer and Model terminology, and informs the requester of the new part number and description. This includes researching items and acquiring documentation from the plant or online sources.
  • Drafting and typing standard correspondence.
  • Providing logistical assistance to the Purchasing Department.
  • Duplicating correspondence or other printed materials.
  • Preparing outgoing mail and communications, including emails and faxes.
  • Managing price update requests from the plants.
  • Maintaining awareness of existing purchasing agreements to process new part or price update requests.
  • Handling vendor invoices.
  • Communicating with corporate vendors regarding negotiated items and pricing.
  • Overseeing corporate office supplies and regularly replenishing office and kitchen supplies, as well as ordering special-request items.
  • Distributing departmental mail.
Qualifications
  • Demonstrates ownership and ensures compliance with corporate contracts, agreements, and other internal documents.
  • Possesses analytical thinking skills and the ability to determine logical next steps.
  • Familiarity with the manufacturing sector is advantageous.
  • Experience with construction or project management software is beneficial.
  • Ability to navigate systems and utilize search functions to minimize redundancies.
  • Proficient in researching products online through manufacturer or retailer resources.
  • Exhibits keen attention to detail.
  • Strong organizational skills.
  • Ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
Education and Experience: Associate's degree (A.A.) or equivalent from a two-year college or technical school; or one to two years of directly relevant job experience.
