POSITION SUMMARY:

The Maintenance Planner is tasked with organizing maintenance work orders within SAP, which includes creating work instructions, reviewing schematics and equipment manuals, procuring necessary parts, assembling parts, scheduling tasks, and documenting data from completed work orders. The Planner ensures that all available maintenance technician hours are allocated to work orders on a daily and weekly basis. The Planner assists the maintenance team by formulating job plans, sourcing and ordering required parts, reviewing the Preventative Maintenance (PM) process, and engaging in Root Cause Analysis.

KEY RESPONSIBILITIES:

Oversee daily planning and scheduling of work orders. Develop, manage, and distribute the daily maintenance work schedule. Facilitate weekly meetings between Maintenance and Operations to align on the upcoming week's tasks and negotiate downtime periods for preventive and corrective maintenance. Provide insights to production regarding long-term maintenance requirements. Prepare a weekly forecast of all jobs anticipated for scheduling in the following week. Maintain a backlog of work orders. Analyze backlog work in relation to available skilled personnel and parts. Classify jobs that are unplanned, require engineering, are pending materials, or are awaiting downtime. Assess jobs to be completed and determine the scope and optimal approach for execution. Consult with work order requesters or maintenance supervisors for clarification when necessary. Research, price, requisition, receive, and assemble parts needed for upcoming work orders, adding them to the equipment bill of materials as required. Collaborate with external vendors/contractors for services, parts, and retrofits, obtaining quotes and service reports. Expedite parts procurement as necessary. Work with Maintenance Leads and Technicians to obtain blueprints, drawings, instructional manuals, and special procedures from various sources. Create additional sketches or diagrams as needed to clarify work order intent. Review work orders in the Planning Meeting for scheduling readiness. Schedule technician time and ensure that work scheduled aligns with available man-hours for a productive workday. Coordinate manpower schedules with leads to align with production priorities for effective work scheduling. Anticipate special maintenance manpower needs for weekends, holidays, and in-house projects, coordinating these requirements with the maintenance manager. Maintain a list of planned work orders that require equipment downtime, ensuring that these can be executed during unscheduled downtimes. These lists are reviewed and updated weekly. Develop and update preventative maintenance tasks (PM's) to ensure the long-term reliability of equipment. Follow up with technicians to confirm completion of work orders and ensure comments are entered regarding the work performed. Thoroughly review completed schedules and corresponding work orders returned by maintenance supervisors/leads, monitor work order progress, and prepare related reports. Collaborate with Maintenance Leads to evaluate actual labor expended versus estimated labor and materials used for completed jobs, identifying corrective measures to enhance estimating accuracy and improve work methods. Job estimates are continuously refined. Create a repository of standard work orders (plans) for regularly recurring repair tasks based on historical data to streamline the planning process. Partner with Leads and Technicians to develop and maintain reference systems (library). Prioritize safety needs in work planning and scheduling, promoting environmental and sustainability initiatives. Keep the Maintenance Manager and other stakeholders informed about any abnormal or critical situations. Update the asset hierarchy in SAP and maintain the equipment bill of materials. Propose recommendations for system enhancements. Suggest additions, deletions, and modifications to storeroom inventory. Undertake additional tasks and special assignments as directed by the Maintenance & Reliability Engineering Managers.

REQUIRED KNOWLEDGE & SKILLS

Proficient in computer skills (Windows, Microsoft Office, File Management, Internet navigation). Experience with SAP is preferred. Strong understanding of manufacturing equipment maintenance (mechanical & electrical). Basic mathematical skills. Excellent written and verbal communication abilities. Strong organizational skills are essential. Must effectively manage and maintain a substantial backlog of work orders.

MINIMUM QUALIFICATIONS

High School Diploma or GED 2+ years of experience in manufacturing or warehousing (e.g., general mechanic, electrician, or maintenance role)

PREFERRED QUALIFICATIONS

Bachelor's Degree or Associate's Degree 3+ years of maintenance experience in food manufacturing Experience in maintaining facility equipment such as air compressors, chillers, boilers, HVAC systems, generators, fire alarm & sprinkler systems, and general building maintenance Experience in Maintenance and Scheduling
