About the Role: The Grants Finance Coordinator will report directly to the Finance Manager and will be responsible for a variety of essential tasks:
RESPONSIBILITIES:
- Manage the GrantHub database, ensuring accurate administrative grant information.
- Generate and analyze reports in GrantHub and accounting software related to accounts receivable and payable for grants.
- Collect and organize data for grant invoicing, requiring effective communication with various internal and external stakeholders.
- Prepare and submit all grant invoices to relevant vendors.
- Process payment requests for subawardees.
- Provide updated billing and invoice information to the accounting department for accurate record-keeping.
- Ensure all invoicing is documented and available for monitoring and audits.
- Maintain monthly grant reporting information and tracking spreadsheets, including due dates and billing requirements.
- Reconcile discrepancies between expense tracking and accounting systems.
- Assist program leads in generating spenddown reports.
- Update grant spreadsheets for fiscal tracking and audit purposes.
- Perform general bookkeeping and accounting tasks, maintaining related documentation.
- Coordinate with vendors, reviewing business expenses and reimbursements, including collecting necessary tax forms.
- Prepare financial reports for the local Governance Board and executive staff.
- Engage in special projects and other duties as required.
- Support general office duties such as answering phones and outreach activities.
- Occasional evening and weekend hours as well as local travel may be required.
- Other duties as assigned.
- Bachelor's degree in Accounting, Finance, Business, or a related field (preferred).
- Experience in nonprofit organizations (preferred).
- Familiarity with QuickBooks, GrantHub, and the Microsoft Office Suite, with intermediate or higher proficiency in Excel.
- Understanding of Generally Accepted Accounting Principles (GAAP).
- Demonstrated professional integrity and ability to maintain confidentiality.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks and meet deadlines.
- Ability to work independently, adapt to changing circumstances, and thrive in a fast-paced team environment.
