Job Title: Administrative Support Professional

About the Role:

We are seeking an experienced Administrative Support Professional to join our team at McCarthy Building Companies. This role will provide direct support to the Executive Assistant to the CFO and CHRO, performing a wide range of administrative and office management tasks.

About You:

  • 5+ years of experience in administrative support roles
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Proficiency in Microsoft Teams and Zoom video conferencing applications
  • Experience with Concur or other online travel booking tools preferred

Your Responsibilities:

  1. Meeting Planning: Assist the EA with planning and coordinating meetings and events, including venue research, obtaining quotes, arranging catering, and ensuring logistical details are handled.
  2. Travel Arrangements: Coordinate travel arrangements, including booking flights, hotels, transportation, and dining reservations.
  3. Expense Reports: Prepare expense reports and reconcile corporate credit cards.
  4. Invoicing: Review and reconcile office and vendor invoices.
  5. Mail Processing: Receive, sort, and distribute incoming mail and packages, prepare and send outgoing mail and packages.
  6. Support: Provide backup support to the EA as needed.
