Job Summary

We are seeking a highly organized and detail-oriented Facilities and Administrative Assistant to join our team at ATR International. The successful candidate will be responsible for providing administrative support to our facilities team, ensuring the smooth operation of our office facilities, and providing exceptional customer service to our employees and visitors.

Key Responsibilities
  • Provide administrative support to the facilities team, including answering phones, responding to emails, and maintaining records.
  • Ensure the office facilities are well-maintained, organized, and supplied, including restocking of kitchen and break room areas.
  • Perform routine maintenance and repair of office furniture and equipment, including desks, chairs, and appliances.
  • Assist with inventory restocking and receiving of goods and services related to Corporate Service Organization.
  • Help to uphold the bank's Physical Security Standards by creating, changing, and terminating access control key cards for employees, contractors, visitors, and service providers.
  • Assist in the execution of the Bank's Space Strategy by continually updating space plans, directories, and name plates.
  • Execute cubicle and office space moves, adds, and changes as instructed.
  • Assist with shipping/receiving activity, including sorting, distributing, and tracking USPS and interoffice mail.
  • Provide back-up coverage for the Bank receptionist by greeting visitors and vendors, and routing incoming phone calls.
  • Support on-site hosted events with space configuration, set-up/teardown assistance.
  • Participate in the continual improvement process by making recommendations when deficiencies or opportunities for improvement are identified.
Requirements
  • Minimum of 3 years experience working in facilities management, or maintenance in a financial or corporate setting required.
  • Ability to operate PC-based software programs required; knowledge of Microsoft Word, Excel, and Outlook desired.
