Job Summary

The Paralegal Administrative Assistant will play a crucial role in ensuring accurate and timely processing of vendor invoices, maintaining financial records, and supporting the overall efficiency of the invoicing process.

Key Responsibilities
  • Review, process, and manage vendor invoices, ensuring accuracy and timely submission for payment.
  • Communicate with attorneys, paralegals, clients, accounting department, and third-party vendors to resolve invoice discrepancies or obtain missing information.
  • Assist in developing and implementing invoice billing processes, identifying technology solutions to improve invoice processing workflows.
  • Maintain and update Excel spreadsheets with invoice status and payment information.
  • Provide administrative support to paralegals and attorneys, including quality control review requests from Epiq, maintaining and organizing physical and electronic files, and coordinating communication within the department and with external contacts.
  • Review open and closed files, prepare indexes, and upload documents into iManage and WinstonWay Workspaces.
  • Deliver and relocate boxes between offices, floors, and conference rooms as needed.
Requirements
  • High School Diploma or GED equivalent required; Bachelor's degree preferred.
  • Two plus years of administrative experience in a professional environment, preferably in a law firm.
  • Ability to travel to trial sites throughout the country to assist case teams with delivery of trial boxes and case materials.
  • Ability to learn and adapt to new skills and best practices as firm needs evolve.
