Job Title: Business Administrative Assistant

Reports To: Director of Client Management

This position is responsible for providing administrative support to the Client Management team, including exhibit client planning, project management, and client communications.

Key Responsibilities:

  • Work with the Exhibits Account Executive team to execute exhibit client planning, including project management and lead follow-up.
  • Communicate and manage client graphics needs with the Creative Services team.
  • Assist with custom exhibit client prospecting and manage design and graphic work orders within AGS Expo software.
  • Spearhead client communications and conference calls in conjunction with the team.
  • Update management software with relevant event details for on-site execution.
  • Help the Exhibits Account Executive team with creation of client budgets and invoices.

Account Management Administrative Support:

  • Assist with various aspects of Account Management team and tasks associated with event management work.
  • Special Projects management on behalf of the Director of Client Management.

Marketing and Business Development Administrative Support:

  • Work directly with the Marketing Director on creative elements, external client/vendor communications, and content projects.
  • Facilitate communication between the Marketing Manager and design team on special projects.
  • Marketing inventory control and procurement.
  • Assist in preparation and planning for Business Development calls and meetings.
  • Assist in the development and overall design of AGS Expo proposals and additional business development response to client RFPs.

Work Hours: General office hours are 8 AM to 5 PM, Monday through Friday. This position may require extended hours on weekdays when key target deadlines are approaching. Courtesy advance notice towards scheduling these extended hours will be given where possible.

Travel Requirements: ~5%

Education and/or Experience:

  • Preferred experience in the trade shows or events industry.
  • Preferred Four-year college bachelor's degree at a minimum. A combination of education and work experience may be used in lieu of a college degree.

Mathematical/Computer Skills:

  • General math.
  • Must be able to type all correspondence and have at least "intermediate" knowledge of Microsoft Word, Outlook, Publisher, PowerPoint, and Excel.
  • Preferred experience in CRM or similar customer relationship management software.
  • Must be capable of learning company-specific software/programs.

Language Skills: English (Natural or Fluent)

Physical Demands: Ability to lift a thirty-pound box and/or general office equipment for operational management.

Job Type: Full-time Hourly, Overtime Eligible

Hourly Rate: $19.00/hr + (commensurate with experience)
