Key Responsibilities


Handle a high volume of daily interactions, addressing basic inquiries and scheduling meetings with prospective and existing clients through various communication channels.

Collaborate both independently and within a vibrant team setting to provide essential support to financial advisors and branch operations.

With a keen eye for detail, process client financial transactions and manage financial advisor and branch office expenses and reports.

Open new client accounts and conduct research on client and security information utilizing internal databases and technology.

Ensure the accuracy and completeness of client paperwork and documentation prior to submission and processing, adhering to firm and industry standards.

Follow up diligently to confirm the accurate completion of tasks.

Prepare letters, forms, and reports to assist in servicing existing clients and attracting new ones.

Generate various business summary reports and client-specific documentation for financial advisor review.

Utilize Client Relationship Management (CRM) software to create and maintain records and files.

Support Financial Advisors in marketing initiatives, including seminars and other client engagement events.

May assist in entering orders as directed by the Financial Advisor.

Engage actively in available training and professional development opportunities to stay informed on firm and industry policies and procedures.

Perform additional duties and responsibilities as assigned.

Qualifications


Knowledge, Skills, and Abilities:

  • Understanding of the company's structure, policies, mission, and strategies.
  • Familiarity with general office practices, procedures, and methods.
  • Comprehension of investment concepts, practices, and procedures within the securities industry.
  • Awareness of financial markets, products, and industry regulations.

Skills:

  • Proficiency in Client Relationship Management (CRM) software or similar contact management tools.
  • Competence in Excel, including the ability to develop spreadsheets for ongoing reporting.
  • Effective communication across multiple client interaction platforms (in-person, virtual, phone, and mail).

Abilities:

  • Operate standard office equipment and utilize required software applications to produce correspondence, reports, electronic communication, spreadsheets, and databases.
  • Analyze and research account information.
  • Organize, manage, and track multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast-paced, task-oriented work environment.
  • Identify time-sensitive items and assess competing priorities.
  • Take initiative and proactively follow up on submitted items to ensure completion; resolve errors, questions, or concerns.
  • Handle stressful situations while providing a high level of customer service in a calm and professional manner.
  • Analyze problems and establish solutions in a fast-paced environment.
  • Utilize mathematics sufficient to process account and transaction information.

Educational/Previous Experience Requirements:

High School Diploma or equivalent, with one (1) or more years of experience in the securities industry or a related field preferred. An equivalent combination of experience, education, and/or training may be considered.
