Job Overview

AscellaHealth is a global partner that delivers end-to-end solutions to both life sciences and healthcare companies. We are seeking an experienced Dedicated Administrative Coordinator to join our team.

About the Role:

The Dedicated Administrative Coordinator will work closely with our C-Suite, Executive Leadership Team, Department Heads, Managers, and Supervisors to provide comprehensive and effective administrative support. This role requires strong organizational skills, excellent communication abilities, and a keen attention to detail.

Key Responsibilities:

  • Schedule Management: Maintain calendars for assigned executives, resolve scheduling conflicts, prioritize calendar events, and communicate urgent requests or changes.
  • Meeting Coordination: Schedule meetings and appointments, prepare agendas, record minutes of meetings, and distribute documents as requested.
  • Travel Arrangements: Coordinate travel arrangements, including air, hotel, and car rental reservations, for assigned executives.
  • Clerical Support: Perform general clerical duties, such as photocopying, faxing, scanning, and mailing.
  • Email and Correspondence: Prepare, modify, and distribute email and other correspondence, including reports, memos, forms, and faxes as requested.
  • Document Creation: Create and modify PowerPoint, Word, and Excel documents as needed.
  • Filing System: Maintain electronic and hard copy filing systems and retrieve documents quickly and efficiently upon request.
  • Other Duties: Perform other miscellaneous office, administrative, and sales support tasks as needed or directed.

Requirements:

  • Education: A high school diploma or equivalent is required. A college degree or equivalent is preferred but not necessary.
  • Experience: Minimum of 2 years of experience as an Administrative Assistant or similar title, role, or capacity.
  • Skills: Very proficient in Microsoft Office Suite, specifically Excel, Word, PowerPoint, and Outlook.
  • Abilities: Ability to thrive in a fast-paced environment with constantly changing priorities, excellent analytical skills, and the ability to provide solutions to complex problems.

Benefits:

We offer a competitive salary range of $55,000 - $65,000 per year, depending on experience. Our benefits package includes health insurance, retirement plans, and paid time off.
