Position Overview:

General Summary:

This role involves providing administrative and office support to the finance team, executives, directors, and marketing. Responsibilities include organizing, coordinating, reconciling, and reporting tasks. Flexibility in work hours is required.

Position Details:

Hours: 15-20 hours per week.

Qualifications:

Education: Currently enrolled in college or possess relevant office experience. Experience: At least 1 year in a related field.

Technology: Proficient in computer applications relevant to the role (Microsoft Outlook, Teams, Word, and Excel).

Other: Ability to engage with a diverse population in a pleasant and respectful manner.

Preferred Skills and Experience:

Knowledge of healthcare administration and management practices, along with an understanding of confidentiality in corporate practices.

Key Responsibilities:

  1. Maintain the executive office by ensuring supplies and meeting essentials are stocked.
  2. Assist in organizing project-related activities as directed.
  3. Perform clerical tasks such as scanning documents, managing spreadsheets for the finance team, and uploading receipts.
  4. Support the finance team with research on invoicing and revisions.
  5. Distribute mail and packages within the executive suite.
  6. Process daily invoices using ENVI.
  7. Act as a resource for managing various employee lists.
  8. Collaborate with team members to enhance service levels across the organization.
  9. Communicate effectively with leaders and peers to positively impact customer service and team morale.
  10. Demonstrate sensitivity to cultural diversity and maintain confidentiality.

Work Environment: This position operates in a fast-paced office setting that requires attention to detail and the ability to adapt to constant changes. The role involves extensive computer use, with approximately 80% of the time spent sitting, 15% walking, and 5% transporting lightweight items.
