Job Overview:

The Executive Assistant will provide high-level administrative support to the CEO and the Human Resources department, ensuring seamless daily operations and effective communication within the company.


Key Responsibilities:

  • Coordinate complex scheduling and calendar management for the CEO, ensuring timely and efficient communication with the leadership team.
  • Maintain confidentiality and professionalism in all interactions, upholding the highest standards of discretion and integrity.
  • Manage office facilities to create a productive and welcoming environment for employees and visitors, collaborating with building management as needed.
  • Handle incoming and outgoing mail, packages, and deliveries with precision and attention to detail.
  • Arrange travel itineraries for the CEO, including flights, hotels, and transportation, ensuring seamless execution.
  • Process expense reports for the management team, guaranteeing accuracy and timeliness.
  • Plan and coordinate office-wide events, serving as the primary point of contact for visiting employees and managing post-event evaluations.
  • Support the HR department by scheduling interviews for prospective candidates, ensuring a smooth and efficient hiring process.
  • Oversee the onboarding process for new hires, providing a comprehensive and welcoming experience.
  • Collaborate with the HR team to develop and implement employee recognition programs, fostering a positive and inclusive work environment.
  • Provide ad hoc administrative support as needed, adapting to the evolving needs of the CEO and the company.


Requirements:

  • Bachelor's degree in business administration or a related field.
  • At least 5 years of experience in an executive assistant role, demonstrating exceptional organizational skills and adaptability.
  • Proven ability to prioritize multiple tasks and functions, ensuring seamless execution and high-quality results.
  • Excellent verbal and written communication skills, with the ability to build strong relationships across multiple functions and disciplines.
  • Proficiency in Microsoft Office Suite, with a strong emphasis on Excel, Word, and PowerPoint.
