ROLE RESPONSIBILITIES:

The primary function of this position is to manage the ordering, receiving, and stocking of essential supplies, marketing materials, and promotional items. Collaborate with various departments to address supply requirements efficiently. In the absence of the Supply and Purchasing Supervisor, liaise with external vendors to obtain quotes and process orders. Assist in tracking inventory and ensuring timely delivery of supplies across departments.


KEY ACCOUNTABILITIES:

Main Responsibilities:

  • Process supply requests from all departments promptly to adhere to delivery timelines.
  • Inspect and confirm the accuracy of incoming supplies, ensuring proper stocking in designated areas.
  • Manage incoming shipments and distribute items to the relevant departments.
  • Maintain an updated inventory list of supplies, including item specifications and pricing, to facilitate order placements.
  • Monitor stock levels and proactively place orders or alert the Supply and Purchasing Supervisor regarding potential shortages.
  • Support the Supply and Purchasing Supervisor by managing online ordering systems and maintaining vendor relationships.
  • Request quotes from vendors for routine orders and collaborate with the Supply and Purchasing Supervisor to evaluate bids based on quality, pricing, and delivery capabilities.
  • Communicate vendor selections back to the involved parties after the bidding process.
  • Assist in creating detailed purchase requisitions and orders using the Bank's purchasing software.
  • Organize and digitize documentation related to completed projects, including vendor quotes and requisitions.

Additional Responsibilities:

  • Manage and document negotiable instruments.
  • Foster positive relationships with various vendors.
  • Assist in reviewing invoices related to bank supplies.
  • Provide backup support for the Supply and Purchasing Supervisor as needed.
  • Explore innovative ideas for promotional items through various resources.
  • Research historical orders for pricing and vendor selection.
  • Engage in other assigned projects as necessary.

QUALIFICATIONS:

  • High school diploma or equivalent; or one year of relevant experience or training; or a combination of education and experience.
  • Basic understanding of supply chain management and purchasing processes.
  • Ability to lift and transport items weighing up to 50 lbs.
  • Proficient typing skills.
  • Experience with personal computers and familiarity with spreadsheet and word processing software.
