Customer Service Representative

As a Customer Service Representative, you'll play a vital role in delivering exceptional customer experiences and ensuring the smooth operation of our medical office.

Key Responsibilities:
  • Answer incoming phone calls from patients and respond to their inquiries in a compassionate and professional manner.
  • Schedule, reschedule, or cancel patient appointments as needed, ensuring seamless communication with our medical staff.
  • Transfer calls to the nurse station or other specific locations as required, maintaining a high level of customer satisfaction.
  • Document patient interactions and update their records accurately and efficiently.
  • Communicate with patients who fail to show up for appointments, attempting to reschedule them and minimize no-shows.
  • Remind new patients of their upcoming appointments via phone calls, ensuring they're well-prepared for their visits.
  • Send letters to patients who cannot be reached by phone, maintaining a paper trail and ensuring compliance with regulatory requirements.
Requirements:
  • High school diploma or equivalent work experience.
  • Must be 18 years of age or older.
  • At least 1 year of customer service experience, preferably in a medical or administrative setting.
  • Familiarity with computer applications, including Windows PCs and complex system software.
  • Ability to work a variety of 8-hour shift schedules during regular business hours, with occasional overtime as needed.
Preferred Qualifications:
  • Prior experience in the healthcare industry.
Soft Skills:
  • Excellent listening and communication skills, with the ability to build rapport with customers and resolve conflicts effectively.
  • Proficient conflict management skills to handle stressful situations and maintain a positive attitude.
