Role Overview:
The Events Coordinator is tasked with a diverse range of responsibilities aimed at ensuring the effective delivery of services and the successful execution of events.

This role encompasses the planning, implementation, coordination, and execution of events aligned with special initiatives prioritized by Undergraduate Admissions and affiliated organizations.

Under the guidance of the Associate Director and in collaboration with the events team, the incumbent will manage all essential components of assigned events, including budget management, logistical planning, and publication oversight.

The Events Coordinator will ensure adherence to all relevant policies and procedures throughout the event coordination process.

Additionally, the incumbent will gather, compile, and prepare all necessary documentation, including entertainment requests, event agendas, staffing assignments, and executive summaries, ensuring compliance with established guidelines.

This position requires the ability to work independently while effectively organizing and prioritizing a varied workload to meet strict deadlines.

The Events Coordinator exemplifies outstanding customer service skills, fostering a welcoming atmosphere for all stakeholders including administrators, faculty, staff, students, and guests.

Furthermore, the incumbent will engage in community outreach and maintain productive relationships with both internal and external partners related to event management.


Qualifications:
Educational Background:
Bachelor's degree in a relevant field or equivalent experience/training. Required
Experience:
  • Minimum of 4 years of relevant experience. Required

Proven success in organizing, planning, and directing both social and professional events for diverse groups, with a strong understanding of professional etiquette. Required
Demonstrated experience in vendor research and securing competitive quotes. Required
Experience in developing and managing complex event budgets, including outcome analysis. Required
Experience in a higher education environment. Preferred
Demonstrated expertise in comprehensive event planning and execution. Preferred


License Requirements:
Valid Driver's License. Required
Special Conditions:
Must possess or obtain a valid California Driver's License for event-related transportation needs. Required
Successful completion of a background check is mandatory. Required
Flexibility in work schedule, including occasional evenings and weekends. Required
Overtime and travel outside of standard business hours may be necessary. Required

In-depth knowledge of event planning principles and practices, alongside strong organizational skills for managing multiple details effectively.
