Position Summary:

We are in search of a meticulous and highly organized Office Coordinator to enhance our team. The ideal candidate will deliver essential administrative support to facilitate the smooth functioning of our office. This role will assist managers and staff through a variety of tasks related to organization and communication.

Key Responsibilities:

  • General Administrative Duties: Execute routine clerical tasks including photocopying, faxing, mailing, and filing.
  • Communication Management: Address incoming calls and emails, providing information and redirecting inquiries as necessary.
  • Calendar Management: Oversee calendars, arrange meetings, and coordinate appointments for the management team.
  • Document Preparation: Draft and revise correspondence, reports, and presentations. Maintain organized and accurate records and files.
  • Office Organization: Ensure a well-maintained and orderly office environment.
  • Data Management: Input and update information in various databases and systems.
  • Visitor Assistance: Welcome visitors and provide necessary support. Serve as the primary contact for internal and external clients.
  • Event Planning: Aid in the organization and coordination of company events, meetings, and conferences.
  • Travel Coordination: Arrange travel logistics for executives, including booking flights, accommodations, and transportation.
  • Project Assistance: Support special projects as required, offering administrative help to various departments.

Qualifications:

  • Education: High school diploma or equivalent required; Associate's degree or higher preferred.
  • Experience: Demonstrated experience in an administrative or assistant role. Familiarity with office management practices and basic accounting principles is advantageous.
  • Skills:
    • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Exceptional written and verbal communication abilities.
