The Finance Operations Manager is responsible for managing and directing the daily functions of the Finance Department.

This position entails the development, implementation, and maintenance of accounting principles, practices, procedures, and systems for the collection, analysis, verification, and reporting of financial data.

Responsibilities

Key Responsibilities and additional duties:


Supervise the daily operations of the Finance team, ensuring effective cash management, and overseeing the distribution of expenditures, receipts, and receivables.

Serve as the primary contact for all finance-related inquiries from team members and other departments.
Ensure bank accounts are adequately funded and reconciled, authorizing transfers as necessary.
Oversee the accuracy of general ledger transactions from order entry to cash collection.
Prepare financial statements, including income statements, balance sheets, and cash flow statements in compliance with GAAP.
Manage the recording of capital expenditures, depreciation, and amortization.
Report royalties and execute payments.
Review, investigate, and rectify errors and discrepancies in financial entries.
Provide recommendations regarding reserves, accruals, capital expenditures, and expenses.
Audit invoices and vouchers, reviewing reports to substantiate transactions prior to posting.
Prepare and analyze reports, including order backlog, booked orders, invoiced orders, and regional sales analysis using financial software.

Adhere to monthly and year-end closing schedules to ensure timely reporting to senior management and external stakeholders.

Collaborate with department managers on budget management and assist in the preparation of annual budgets.
Prepare documentation for annual audits and liaise with banks and external auditors as required.

Conduct sales tax reconciliations and ensure accurate invoicing of sales tax to customers, filing monthly sales and use tax returns for various jurisdictions.

Coordinate inventory cycle counts and physical inventory with relevant departments, auditing counts and approving adjustments prior to posting.
Reconcile inventory details with the general ledger to ensure accurate valuation of inventory balances.
Oversee the financial reporting requirements for government contracts.
Manage leases and other financial commitments.
Facilitate funding for international purchases and vendor payments.

Work with payment processors and software providers to ensure accurate recording and confidentiality of customer transactions.

Register to conduct business in other jurisdictions as necessary.
Process bi-weekly payroll entries, including payroll taxes and pre-tax savings accounts.
Collaborate with Customer Service and Sales teams to approve credit applications and establish credit limits.
Oversee the corporate credit card program and assess limits for cardholders.
Safeguard the company's value by maintaining confidentiality.

Supervisory Responsibilities


Assess resource needs and manage the Finance department team, fostering a diverse and inclusive work environment.

Responsible for team performance management and career development.

Education


A Bachelor's degree in Accounting, along with a minimum of 5 years of progressive financial and management experience, or a combination of 9 years of education and experience.

A CPA license is preferred.

Skills And Experience

Strong understanding of Generally Accepted Accounting Principles (GAAP), laws, and regulations.
Experience with accounting software and internet applications, with proficiency in financial software preferred.
Knowledge of ERP systems, including database management and report generation.
Proficient in Microsoft Office, particularly Excel at an advanced level.
High attention to detail and accuracy.
Ability to maintain confidentiality in business transactions.
Capacity to thrive in a fast-paced environment and meet strict reporting deadlines.
Familiarity with inventory and order management, focusing on inventory turnover and valuation methods.
Experience with LLC setup and management is preferred.
Understanding of higher education financing and grant management is a plus.
