Position Overview
The role of the Personnel Management Assistant II is crucial in executing a variety of administrative tasks related to personnel actions, including managing temporary employment, rehires, and separations. This position involves responsibilities that extend beyond standard clerical duties, such as conducting pre-employment screenings, overseeing random and comprehensive drug testing, and facilitating new hire orientations. The assistant will also address routine inquiries regarding policies and procedures while generating reports on employee metrics such as turnover and attendance. This role may involve evaluating and synthesizing information from multiple sources under tight deadlines and reporting on employment statistics. Additionally, the Personnel Management Assistant II may offer guidance and supervision to junior personnel assistants. A comprehensive understanding of various office software applications is essential. Written work will undergo meticulous review by senior personnel and office staff.
Key Responsibilities
- Address and resolve employee data issues promptly, including password resets, workflow entries, and temporary pay form management.
- Update and maintain information in databases and spreadsheets.
- Generate reports and provide program data to leadership, including earnings reports, pre-check details, and seniority rosters.
- Prepare both scheduled and ad hoc reports for corporate functional areas such as Finance, Accounting, and Business Development.
- Ensure compliance with federal posting requirements on company bulletin boards.
- Correlate data from various sources, personnel, databases, and programs, both manually and electronically.
- Produce and distribute information in support of the program as needed.
- Assist in the onboarding process for new hires and transfers, including orientation and site processing needs.
- Support the Random Drug Testing program.
- Aid in travel arrangements, including booking, advances, and expense report assistance.
- Provide necessary documentation requested by clients, including detachment estimates and actuals.
- Collaborate with Payroll to manage military pay differentials.
- Inform employees about the Employee Assistance Program (EAP).
- Maintain site-specific personnel records.
- Coordinate employee uniform orders and returns.
- Assist in drafting job requisitions for recruitment purposes.
- Help schedule physical examinations and administer drug tests.
- Conduct regular audits of timecards to ensure adherence to timekeeping procedures and act as a liaison with the corporate payroll department to resolve discrepancies.
- Support out-processing activities for employee separations.
- Serve as a liaison with Corporate Security to track necessary training and maintain records for personnel.
- Collaborate closely with corporate business advisors and PMO staff to provide program-specific transactional support.
Additional Information
Education and Experience Requirements
Education
High School Diploma required.
Preferred Experience
- 0-3 years of experience in administrative functions.
- General knowledge of personnel administrative tasks, including timesheet management and reporting.
- Experience in defense contracting is advantageous.
Skills Required
- Strong written and verbal communication abilities.
- Excellent public speaking, training, and email communication skills.
- Proficiency in personal computing, including Microsoft Outlook, Word, Excel, SharePoint, and PowerPoint.
- Advanced skills in Excel, including pivot tables and formulas.
