Position Overview:


The Senior Medical Assistant Supervisor plays a pivotal role in enhancing patient care and streamlining clinic operations. This position involves being the primary resource for electronic health record (EHR) issues, supporting healthcare providers and clinic personnel with their immediate needs, and serving as a liaison between clinical staff and management by providing comprehensive reports on operational matters to foster quality improvement initiatives.

This role encompasses support across various specialties at the OBGYN SPAH office, including Maternal Fetal Medicine, Urogynecology, Minimally Invasive Gynecological Surgery, and Obstetrics and Gynecology.


Key Responsibilities:
Senior Medical Assistant Supervisor

• Implement and uphold policies and procedures of EVMS and EVMS Medical Group.

• Collaborate effectively with physicians, nurse practitioners, and physician assistants across all divisions at the SPAH OBGYN facility.

• Deliver personalized nursing care and education tailored to patient needs.

• Enhance patient understanding of treatment options and care plans.

• Gather medical histories and monitor vital signs.

• Assist physicians in addressing patient inquiries and concerns.

• Support office-based surgical and diagnostic procedures.

• Authorize medication refills as instructed.

• Triage patients, including obtaining vital signs and escorting them to treatment areas.

• Assist with injections under the supervision of a registered nurse.

• Facilitate referrals to specialists as directed by physicians.

• Coordinate additional patient care, including follow-up testing, scheduling, and hospital admissions.

• Change dressings on wounds and monitor clinical supply inventory.

• Collaborate with the billing department for authorization of medical devices.

• Ensure timely scheduling of patient appointments and assist reception staff with managing overbooked times.

• Provide education during birth control consultations under RN supervision.

• Organize and manage medication inventories.

• Work closely with department leadership to maintain efficient clinic workflows.

• Oversee the completion of necessary documentation throughout the clinic.

• Train new clinic staff on patient triage, administrative tasks, and workflows.

• Attend various departmental meetings and provide daily reports to management as needed.


• Uphold the mission, goals, and objectives of EVMS and the Department of OB/GYN by adhering to established protocols and procedures.


Medical Assistant Duties:

• Educate patients on treatments and procedures.

• Prepare patients for examinations and assist physicians during these assessments.

• Collect and prepare laboratory specimens and ensure proper disposal of contaminated materials.

• Instruct patients regarding medications and dietary requirements.

• Administer medications as directed by physicians.

• Reconcile patient allergy and medication lists.

• Provide chaperone services and assist during minor procedures.

• Maintain clean and well-equipped examination rooms and sterilize instruments.

• Prepare treatment rooms with necessary instruments and supplies.

• Schedule tests and ultrasounds as needed.

• Stock examination rooms and triage areas with medical supplies.

• Open and prepare patient charts for daily clinic operations.

• Complete assigned tasks from healthcare providers.

• Conduct phone triage under the supervision of licensed personnel and complete necessary paperwork.

• Participate in staff meetings, educational sessions, and quality improvement initiatives.

• Adhere to infection control, safety, and confidentiality protocols, completing required training and certifications.

• Perform additional duties as assigned.

Qualifications:

• Completion of a Medical Assistant program (or equivalent military training) and certification (CMA or RMA) is mandatory. BLS certification required, with recertification every two years.

• A minimum of two years of experience in a high-volume clinical setting is preferred.

• Ability to manage multiple priorities and tasks effectively.

• Capability to make informed nursing decisions under physician and licensed nurse supervision.

• Strong interpersonal skills for professional interactions with healthcare providers, pharmacies, and support staff.

• Supervisory experience is advantageous.
