Job Overview

This role is pivotal in facilitating effective communication and coordination of customer services, ensuring exceptional service delivery for our clientele. The responsibilities encompass regular updates on service statuses, thorough research, resolution of inquiries, and proactive follow-up on customer feedback related to their service experiences.

Key Responsibilities:

  • Oversee daily operations to align with departmental objectives through effective prioritization and resource management.
  • Engage with customers, coordinators, and sales teams on a daily basis regarding scheduling, estimates, and equipment repairs.
  • Ensure customer expectations for communication and updates are consistently met or surpassed.
  • Collaborate with essential parts and service personnel to maintain a seamless flow of information, focused on delivering outstanding customer service.
  • Provide administrative assistance, including handling phone calls, responding to inquiries, and delivering information to customers.
  • Maintain accurate and timely coordination of information and documentation to ensure departmental efficiency.
  • Process customer payments and manage purchase orders within the operational systems.
  • Work closely with supervisors to manage work order processes effectively.
  • Compile and maintain departmental reports on a daily and monthly basis.
  • Adhere to safety policies and procedures while maintaining regular attendance.
  • Perform additional duties as required.

Required Skills and Qualifications:

  • Proficient in computer usage and multi-line phone systems.
  • Understanding of basic office practices and procedures.
  • Competence in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication abilities.
  • Exceptional customer service aptitude.
  • Ability to build effective working relationships across various departments.
  • Familiarity with critical applications related to service operations.
  • Effective time management and prioritization skills.
  • Capability to manage multiple projects and interact positively with team members and management.
  • Self-motivated with the ability to work independently.
  • Competence in operating standard office equipment.
  • Ability to comprehend and convey information clearly.

Education and Experience:

  • High School diploma or equivalent is required.
  • A minimum of three years of direct service experience or five years of relevant industry experience is preferred.

Physical Requirements:

  • This position involves prolonged periods of sitting and occasional movement within the office.
  • Regular communication with colleagues and customers is essential.
  • Frequent use of standard office equipment is required.
  • Must be able to lift or transport items weighing up to 15 pounds.

Work Environment:

  • This role is typically performed in a professional office setting.
  • Must be able to work effectively in a fast-paced environment with unexpected interruptions.
