Key Responsibilities:

The successful candidate will provide extensive administrative and secretarial support to attorneys in the maritime law field. Responsibilities include:

Administrative Duties:
  • Oversee attorney schedules, including the arrangement of appointments, meetings, and court appearances.
  • Coordinate travel arrangements and prepare itineraries as necessary.
  • Manage incoming calls, taking messages and directing inquiries appropriately.
  • Draft and review correspondence, legal documents, pleadings, and other materials.
  • Maintain systematic electronic and physical filing systems.
Document Management:
  • Prepare and submit legal documents to courts, agencies, and other relevant parties.
  • Assist in document production, including formatting, editing, and finalizing legal briefs, contracts, memos, and reports.
  • Ensure all documents and correspondence are accurate and complete.
Client Communication:
  • Act as a primary contact for clients, delivering exceptional service and promptly addressing inquiries.
  • Facilitate communication between attorneys, clients, and other involved parties.
  • Uphold confidentiality regarding sensitive information and communications.
Additional Responsibilities:
  • Support billing and invoicing processes, including time entry and client billing.
  • Engage in team meetings, training sessions, and professional development opportunities.
  • Perform general office tasks and assist other administrative staff as required.
Qualifications:
  • Bachelor's degree or equivalent relevant experience.
  • Over 10 years of experience as a legal secretary or administrative assistant in a law firm, preferably with a focus on maritime law.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal software applications.
  • Excellent typing and transcription skills with a high degree of accuracy and attention to detail.
  • Strong organizational abilities and capacity to prioritize tasks effectively in a dynamic environment.
  • Outstanding communication skills, both written and verbal, with a professional demeanor.
  • Ability to maintain confidentiality and manage sensitive information with discretion.
  • Familiarity with legal research methods and resources is advantageous.
