Position Overview:

The Operations Support Specialist plays a vital role in assisting site sales and marketing teams through various operational tasks, including tour reception, contract management, and gift distribution. This position is crucial in ensuring a remarkable guest experience, helping families create lasting memories during their vacations.


Key Responsibilities:
  • Deliver an exceptional experience to all guests, both internal and external.
  • Welcome and assess touring guests, ensuring accurate collection and validation of guest information.
  • Distribute gifts to guests and manage daily reconciliation of premiums.
  • Prepare sales contracts for the sales team and property owners.
  • Maintain property owner records and address any contract-related inquiries.
  • Prepare and balance cash and deposits for contracts and gifting departments.
  • Accurately enter all guest and tour information into the company database.
  • Update and maintain sales and marketing reports regularly.
  • Provide administrative support to various internal departments, including Sales, Marketing, HR, and Resort.
  • Assist with additional tasks such as accounts payable, commission incentives, and inventory management.

Qualifications:
  • Exhibit a positive and energetic attitude in a dynamic environment.
  • Ability to manage multiple tasks in a fast-paced sales center.
  • Detail-oriented and thorough, whether working independently or collaboratively.
  • Preferred experience in timeshare, retail, hospitality, or administrative roles.
  • Strong problem-solving skills and excellent verbal and written communication abilities.
  • Proficient in computer applications, including MS Office (Word & Excel) and Salesforce.
  • Availability to work weekends and holidays is essential.
  • High School diploma or equivalent is required.
