Job Overview

The Fleet Operations Coordinator plays a pivotal role in ensuring the seamless execution of vehicle logistics within our organization. Reporting directly to the Branch Manager, this position is essential for managing the scheduling and tracking of vehicle pick-ups and deliveries, while maintaining effective communication with clients.


Key Responsibilities
  • Collaborate with transport providers to fulfill client requirements regarding vehicle pick-up and delivery schedules.
  • Negotiate rates with carriers and vendors as necessary.
  • Oversee the booking and coordination of transportation logistics.
  • Engage with customers, sales teams, and account managers to provide timely updates on vehicle status, prioritizing customer service.
  • Maintain comprehensive records of all transportation activities, including planned, pending, and completed movements.
  • Assess and prioritize vehicle maintenance and repair needs.
  • Establish and oversee timelines related to vehicle operations.
  • Direct vendor activities to ensure vehicles are kept in optimal working condition.
  • Review vendor performance to ensure adherence to company standards.
  • Participate in the physical delivery and collection of vehicles as required.
  • Assist with additional projects as assigned.

Qualifications and Skills
  • Exceptional customer service and communication abilities.
  • Proficient writing skills for clear and concise documentation.
  • Strong telephone communication skills.
  • Able to manage multiple tasks in a dynamic work environment.
  • Team-oriented with a collaborative mindset.
  • Availability to work Monday through Friday during standard business hours, with potential overtime during peak periods.

Education and Experience
  • High School Diploma or equivalent required.
  • Basic computer skills are essential.
  • 1-2 years of experience in transportation or dispatching preferred.
  • 1-2 years of customer service experience is advantageous.
