Program Coordinator

Apicha Community Health Center is seeking a highly organized and detail-oriented Program Assistant to support our Manhattan location. The ideal candidate will have strong communication skills, be proficient in Microsoft Office, and have experience working in a fast-paced environment.
The Program Assistant will provide administrative support for program-related activities, including answering phones, emails, and assisting with program activities, filing, inventory, managing purchase orders, and tracking supplies.
Responsibilities:
- Provide support for program-related activities, including handling Metrocards, processing Check Requests and Purchase Orders for client educational items, and tracking and managing supply inventory for the Department of Support Services.
- Assist in the management of remote document storage.
- Prepare, submit, and reconcile purchase orders for program supplies and other financial transactions.
- Order, distribute, and track Metro Cards for the Department of Support Services.
- Assist the departmental staff with special projects, such as mailing education items to clients.
- Input data into various databases.
- Assist with event planning and related functions, such as group education.
- Coordinate and follow up with Apicha's staff and external vendors for purchase orders and other requests, including preparing expense reports.
- Special project support, such as information gathering, creating spreadsheets, creating mailing lists, etc.
- Organize and maintain office space with program supplies, ensuring space is tidy and items are labeled accurately, and routinely submit reports to the Associate Director of Support Services - Operations.
- Communicate clearly with Apicha's staff, clients, and external vendors, as needed, to provide timely responses to day-to-day tasks as they arise.
- Participate in internal and external meetings and trainings, including taking meeting notes and assisting as assigned.
- Perform other duties as assigned.
Requirements:
- High school diploma/GED with 2 years of experience required; some college preferred.
- Customer service-oriented.
- Proficiency in Microsoft Word, Microsoft Excel, and Outlook, with the ability to learn various in-house applications.
- Strong organization, bookkeeping, and time-management skills.
- Self-motivated to achieve organizational mission.
- Strong verbal and written communication skills.
- Must be reliable, detail-oriented, and resourceful.
- Must comply with HIPAA guidelines.
- Experience working with diverse cultural environments in a professional manner preferred.
- Ability to lift and carry heavy loads (up to 50lbs).
- Ability to work flexible hours, including some evenings and weekends, required.
