Job Summary

We are seeking an experienced Team Coordinator to support our Office Management team. This role involves providing administrative support to a senior manager and a group of professionals, handling tasks such as managing calendars, coordinating special projects, and ensuring the smooth operation of our day-to-day activities.

Responsibilities

You will be responsible for:

  • Providing administrative support to a senior manager and a group of professionals;
  • Managing calendars, scheduling meetings, updating reference guides, and anticipating the needs of our executives;
  • Keeping the team on track by managing distribution lists, the department calendar, and organizing all-hands meetings;
  • Ensuring smooth onboarding and offboarding processes, tracking service tickets, and expediting access requests;
  • Capturing key points in meetings, drafting agendas, and preparing/disseminating materials to keep everyone informed;
  • Planning and executing on-site events, booking conference rooms, and arranging catering to make every event a success;
  • Arranging seamless domestic and international travel, including flights and hotels;
  • Managing equipment logistics and coordinating with the Service Desk for repairs;
  • Reconciling Amex expenses in Concur and supporting the finance team with purchase orders, invoices, and contract renewals;
  • Leading the charge in coordinating Providence charity volunteer events;
  • Taking on additional tasks as needed to support the team.

Requirements

To succeed in this role, you will need:

  • 2 years of university or college training in English, liberal arts, or related subjects; or graduation from a technical program in secretarial or office support services; or equivalent education/experience;
  • 4 years of experience as an administrative or executive assistant, including up to 3 years working directly for a manager or executive;
  • Highly organized and self-directed; Previous experience in an IS/Data management organization; Personal effectiveness and dependability; Proficient in Office 365 suite: Word, PowerPoint, Excel; Strong written and verbal communication skills; Committed to easing the way of our caregivers; Budget management experience; Project management experience.

What We Offer

This role includes occasional travel to Renton to work with our desktop support team. While not guaranteed, there may be opportunities for conversion based on performance.
