The Healthcare Administrative Assistant will carry out their functions in alignment with established guidelines, ensuring a comprehensive approach to patient care in a collaborative health setting. This role requires proficiency in all relevant skills associated with patient care and effective communication abilities. The assistant contributes to the design and management of efficient patient flow while maintaining a focus on patient safety and satisfaction. Additionally, the assistant may support front office operations as necessary.

Key Responsibilities:

  • Prepare examination rooms in accordance with protocols, including disinfecting, restocking supplies, and verifying the availability of vaccinations and medications for the day.
  • Organize patient charts through pre-visit planning by reviewing the upcoming schedule and identifying care gaps. The assistant is responsible for ensuring that necessary tests and immunizations are completed prior to the office visit.
  • Guide patients to examination rooms and manage patient flow to optimize efficiency.
  • Gather and document patient information, including clinical data such as vital signs, height/weight, allergies, current medications, primary concerns, pain assessments, and symptoms.
  • Collect additional information from patients or their representatives, including EKG/lab/diagnostic test results and historical data, and report findings to the provider, noting any abnormal results or changes in condition.
  • Confirm and clarify written orders before executing delegated tasks.
  • Collect, prepare, and process laboratory specimens for testing, both on-site and remotely, while tracking and entering results into medical records. Perform quality control for waived testing and maintain logs.
  • Assist with in-office procedures, which may include EKGs, holter monitoring, and other ancillary tests. Schedule procedures, referrals, and specialty services as needed.
  • Obtain prior authorizations for specific medications and diagnostic tests as directed by the provider.
  • Collaborate with the healthcare team to ensure smooth patient flow and clinical operations, addressing any obstacles to efficiency and notifying the appropriate parties to resolve delays.
  • Support front office tasks, including greeting patients, answering phone calls, and verifying insurance information.
  • Perform other duties as assigned.

Qualifications:

  • Demonstrated proficiency in care tasks such as phlebotomy and aseptic techniques.
  • Strong interpersonal skills and effective oral and written communication abilities to enhance patient care, team collaboration, and problem-solving.
  • Detail-oriented with the ability to manage multiple tasks and ensure follow-through.
  • Experience working with Electronic Health Records, Practice Management, and Scheduling systems.
  • Current BCLS certification from the American Heart Association or American Red Cross is required.
  • Completion of an accredited Medical Assistant Program or a minimum of 3 years of documented medical assistant experience, along with completion of the CH Medical Assistant Assessment.

The compensation range for this position is $22.87 – $29.13 per hour.

This range is provided as a good faith estimate; actual pay will depend on various factors, including the candidate's qualifications, skills, competencies, experience, and location. The listed salary range does not include bonuses, incentive pay, or other forms of compensation that may apply to this role, nor does it account for the value of benefits.
