The Guest Service Representative is responsible for executing all front desk operations in alignment with company standards, which includes assisting guests with inquiries and fulfilling their needs during check-in, throughout their stay, and at checkout.
Key Responsibilities
- Demonstrate exceptional guest service skills while treating colleagues with courtesy.
- Welcome guests and manage the check-in and check-out process using the property management system (PMS). Ensure all necessary procedures for guest registration are completed accurately.
- Possess comprehensive knowledge of the hotel and its amenities, including local attractions, dining options, shopping venues, and provide resolutions to guest complaints or concerns.
- Utilize the phone system with proper etiquette, handle and transfer calls as needed, accurately take messages, and record wake-up calls for guests.
- Handle cash transactions, including counting cash and providing change to guests. Ensure cash drawer and shift deposits are balanced.
- Adhere to all safety and security protocols.
- Conduct regular walks throughout the hotel, including stairwells, to ensure all doors are secured and to identify any safety or security concerns.
- Promote the Stay Rewarded Loyalty Program to guests.
- Be familiar with room rates, locations, and furnishings of all accommodations, including ADA accessible options.
- Process reservations received via telephone, computer, mail, fax, and in-person, ensuring accurate data entry into the property management system.
- Stay informed about changes in hotel operations or policies by reviewing memos and participating in meetings as required.
- Secure the front desk area when necessary and carry a portable phone for emergencies.
- Maintain all entrances and sidewalk areas free of snow and ice, utilizing the Snow and Ice Log.
- Deliver additional guest supplies, such as towels and soap, to guest rooms upon request.
- Ensure the front desk area and lobby are clean, organized, and well-stocked at all times by performing tasks such as dusting, vacuuming, cleaning windows and doors, emptying trash, and sanitizing high-touch areas.
- Prepare coffee and maintain the cleanliness of the coffee bar.
- Issue master keys and key cards to housekeeping and maintenance staff as directed, maintaining accurate records and counting keys daily.
- Assist with cleaning guest rooms when the hotel is at full capacity or when housekeeping staff is unavailable.
- Manage laundry tasks, including pretreating, washing, drying, folding, and storing linens while keeping the laundry area tidy.

- Basic proficiency in computer applications, including Microsoft Office.
- Strong written and verbal communication skills.
- Excellent organizational and multitasking abilities.
- Dependable, professional, and consistent in completing assigned tasks.
