Job Summary
As a key member of the Leland Management team, the Rental Operations Manager will be responsible for leading the day-to-day operations of the St Augustine Ocean and Racquet Rental Office. This role will ensure a safe, clean, and welcoming environment for residents and guests, while providing exceptional customer service and support to the Management Team and onsite rental program.
Key Responsibilities
• Provide friendly and efficient customer service to all inquiries, including general inquiries, rental program and owner questions.
• Maintain all office filing systems and ensure accurate and up-to-date records.
• Work directly with prospective rental clients and assist with short-term rentals, ensuring a seamless and hassle-free experience.
• Stay up-to-date on Community Rental Program Policies and Procedures, and ensure compliance with all relevant regulations.
• Monitor and maintain work orders in the rental program software system, ensuring timely completion and resolution of issues.
• Respond promptly to website, email, and phone inquiries, providing timely and accurate information to residents and guests.
• Ensure a safe, clean, and comfortable office environment for on-site staff, residents, and short-term rental guests.
• Order and maintain office supplies, including printer toner, copier paper, parking passes, and other essential materials.
• Maintain all office systems in working order, arranging repairs as necessary, including copiers, printers, and PCs.
• Record and process all payments received by check, money order, or cashier's check for various fees and clubhouse rentals.
• Retrieve all mail on a daily basis, including allocation of invoices for the General Manager.
• Serve as the primary contact for all matters related to the Association's Rental Program, providing expert guidance and support as needed.
• Assist the General Manager in sending communication to Residents and Guests, ensuring timely and accurate dissemination of information.
• Prepare activity reports on a regular basis for review by the General Manager and inclusion with Board of Director's monthly financial reports.
• Participate in special projects and other responsibilities as assigned by the General Manager.
Requirements
• High school diploma or equivalent required; associate's or bachelor's degree in a related field preferred.
• 2+ years of experience in a customer-facing role, preferably in a rental or property management setting.
• Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups and individuals.
• Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
• Proficiency in Microsoft Office and other relevant software applications.
• Ability to work in a fast-paced environment, with a high level of adaptability and flexibility.
Salary
$20.00 per hour
