The position is dynamic and requires ongoing engagement with both colleagues and patients.

This is a full-time position eligible for benefits, operating Monday through Friday. Work hours may vary.

Key Responsibilities Include:

  • Primary Duties:

    • Welcome patients upon arrival, ensuring adherence to the organization's customer service standards.

    • Schedule and manage patient appointments, confirm attendance, and inform patients of necessary documentation for their visits (such as co-pays, outstanding balances, and required paperwork).

    • Perform data entry tasks within electronic health record (EHR) systems.

    • Complete financial documentation, ensuring all necessary forms are filled out completely.

    • Verify insurance and demographic information at each visit, updating records as needed.

    • Collect co-payments when applicable.

    • Answer phone calls in a courteous and professional manner.

    • Direct calls and messages to the appropriate staff members.

    • Monitor the waiting area to ensure appointments are timely.

    • Review the provider's schedule daily for any updates.

    • Receive daily reports from management information systems for patients with upcoming appointments.

    • Balance daily transactions and submit collected funds to the Office Supervisor or Regional Office Manager, as required.

    • Distribute daily mail.

    • Maintain cleanliness and organization in the lobby and waiting area.

    • Travel to other clinic locations as necessary.

Additional Responsibilities:

• Maintain regular attendance, with flexibility to adjust hours to meet clinic needs.

• Uphold the highest standards of confidentiality, adhering to all HIPAA regulations.

• Conduct oneself in accordance with the employee handbook.

• Participate in all required training sessions mandated by the organization, accreditors, and funding bodies.

• Stay informed about updates and changes related to insurance and communicate these to the Office Supervisor.

• Relay any relevant changes or updates discovered through other channels to the Office Supervisor.

• Perform other duties as assigned.
