Job Overview:
The Coordinator of Grants and Sponsored Programs, under the direct oversight of the Director, is responsible for a diverse range of activities associated with proposal development, research administration, and compliance in the realm of sponsored programs. This role is pivotal in enhancing the operational efficiency of the office and aims to augment the volume and value of grants secured by the institution.
The Coordinator will cultivate strong collaborative relationships with faculty and staff throughout the university; investigate funding opportunities and contribute to the creation of a newsletter to keep the university community informed; address inquiries regarding grant submissions, award processing, and financial management; assist in organizing training sessions for faculty on grant writing and ethical research practices; evaluate grant budgets; support proposal development and writing as necessary; manage grant submissions ensuring all necessary approvals are obtained; provide administrative assistance to research integrity committees; facilitate the preparation and processing of forms for establishing grant accounts; review budget data; maintain grant documentation; monitor project milestones, expenditure rates, and reporting timelines; and aid in compiling reports on grant applications and awards for the university community.
Key Responsibilities:
- Engage daily with faculty and staff through various communication channels.
- Examine funding announcements, proposal applications, agreements, and budgets for accuracy and compliance.
- Track milestones, expenditure rates, and reporting deadlines, liaising with Project Investigators regarding necessary adjustments.
- Review and modify proposal budgets as needed.
- Process subaward budgets and documentation, coordinating with external institutions.
- Stay updated on federal and state policy changes affecting grants.
- Assist the Director in preparing annual reports on submissions and awards.
- Support Project Investigators with financial documentation and compliance with university policies.
- Serve as an alternate member of the Institutional Review Board (IRB).
- Perform various administrative tasks, including data entry and document preparation.
- Conduct online research on grant opportunities and application guidelines.
- Establish and maintain a comprehensive tracking system for submissions and awards.
- Execute additional duties as assigned.
- Strong attention to detail.
- Proficient in operating standard office equipment.
- Excellent organizational and coordination skills.
- Ability to draft and edit written communications effectively.
- Capability to maintain confidentiality of sensitive information.

- Bachelor's degree required; Master's degree preferred.
- Minimum of one year of experience in research, grant writing, project management, or budget management; experience with federal grants is preferred.
