Job Summary

As a key member of the team, you will provide administrative support to the leadership team, manage communications with vendors, and maintain inventory of office supplies.

Key Responsibilities
  1. Manage vendor relationships, ensuring timely and effective communication and contract management.
  2. Provide executive-level administrative support, including publishing, letter writing, and meeting coordination.
  3. Maintain accurate records, including inventory management and data entry.
  4. Support staff with general office tasks, ensuring seamless day-to-day operations.
  5. Prepare and disseminate internal communications, including the Head Start Happenings newsletter.
  6. Update and maintain the organization's website and social media presence.
  7. Operate and maintain office equipment, ensuring efficient and effective use.
  8. Collaborate with the Director and administrative staff on operational issues.
  9. Submit reports and documentation to state and federal agencies as required.
  10. Prepare documents and materials for meetings and events.
  11. Coordinate travel arrangements, catering services, and facility preparations as needed.
  12. Provide exceptional customer service, answering phone calls, handling inquiries, and greeting visitors.
Requirements
  1. 3+ years of hands-on administrative experience, with an associate's degree in business preferred.
  2. Proficiency in Microsoft Office, Excel, and Word, with website, marketing, and social media skills a plus.
  3. Strong communication skills, business acumen, and attention to detail are essential.
  4. Ability to work independently, prioritize tasks, and meet deadlines.
  5. Flexibility and willingness to assist the team as needed.
