Your Role and Responsibilities
  • Maintain and update the subconsultant database; verify all invoices from subcontractors prior to processing by accounts payable. Coordinate with subcontractors as necessary.
  • Assist in the upkeep of a database of minority and small business firms to support subcontracting initiatives.
  • Review contracts to ensure compliance with company policies. Confirm that invoices align with contractual agreements.
  • Ensure that contract and billing documentation is maintained according to established standards. Develop client analyses and reports as required.
  • Prepare and manage relevant spreadsheets for billing and project evaluation. Research contracts, plans, and regulatory agency guidelines to ascertain and analyze specifications and requirements.
  • Review contract progress reports and maintain logs and documentation.
  • Assist in the preparation of contracts, work authorizations, and supplemental agreements.
  • Support the project manager in initiating, opening, and closing project numbers within the accounting system.
  • Perform additional duties as assigned by the supervisor as needed.
Qualifications and Skills
  • Bachelor's Degree in Business or a related field, accompanied by six years of relevant business experience.
  • In the absence of a degree, a minimum of twelve years of experience in relevant analytical and/or project administrative roles is typically required.
  • Proficient in performing mathematical calculations, comprehending contracts and specifications, organizing information, and utilizing microcomputers.
  • Advanced proficiency in Microsoft Excel is essential.
  • Strong interpersonal skills are necessary for effective interaction with project managers and subcontractors.
  • Demonstrated analytical abilities and technical skills are required.
