Position Summary:
We are seeking a dedicated Outpatient Services Administrative Specialist to fulfill the role of Receptionist. This position requires an individual who is outgoing, reliable, detail-oriented, and resourceful.
The ideal candidate will have prior experience in an outpatient behavioral health environment or a similar setting, demonstrating the ability to represent our organization with professionalism and compassion towards clients. Key responsibilities include managing a multi-line phone system, scheduling appointments, welcoming clients, and performing various clerical tasks. Flexibility and teamwork are essential in this role.
Key Responsibilities:
- Exhibit the ability to maintain composure during crisis situations while working both independently and collaboratively.
- Uphold professional conduct in alignment with ethical standards and agency policies.
- Foster positive relationships with internal and external team members, stakeholders, and community partners.
- Possess a valid driver's license and appropriate insurance if driving is required for agency business.
- Meet age requirements for direct client services and support roles, with a minimum educational qualification of a high school diploma or equivalent.
- Assist in daily clinic operations to ensure seamless client flow.
- Effectively manage multiple tasks and prioritize responsibilities to meet the demands of the position.
- Demonstrate initiative and teamwork to fulfill departmental needs.
- Maintain effective communication and positive relationships with clients and colleagues.
- Respect client rights and ensure confidentiality at all times.
Qualifications:
- High School diploma or GED is required.
- A minimum of two years of relevant experience is essential.
- Strong communication and customer service skills are necessary.
- Ability to multitask effectively.
- Intermediate typing and strong computer skills, particularly with MS Office Suite (Word, Excel, Outlook).
- Detail-oriented with strong interpersonal skills.
- Knowledge of privacy laws and the Health Insurance Portability and Accountability Act (HIPAA).
- CPR/First Aid certification is preferred.
- Must possess or be eligible for a fingerprint clearance card.
- Bilingual proficiency in Spanish is required, with additional compensation available for bilingual skills.
