Position Type: Contract
Compensation: $25.00 per hour (Part-time) (with potential for full-time and bonuses)
Essential Qualifications, Education & Experience:
- Minimum of 2 years in an administrative role (Required)
- 1 year of experience in compliance management (preferred)
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) (Required)
- Experience in a behavioral healthcare setting (preferred)
- Associate's Degree (preferred)
- Strong attention to detail and ability to meet tight deadlines
- Self-motivated and proactive
- Ability to prioritize tasks effectively under pressure
- Experience in internal monitoring and auditing (preferred)
Key Responsibilities:
- Welcome individuals entering the facility, addressing inquiries, providing directions, and notifying staff of visitors.
- Manage a multi-line phone system, directing calls to appropriate extensions or taking messages as needed.
- Maintain a log of building access for security purposes.
- Receive and organize deliveries and mail, ensuring timely distribution to the correct recipients.
- Serve as the primary point of contact for the organization, delivering exceptional service to all callers and visitors.
- Keep the reception area tidy and welcoming.
- Assist with filing and data entry tasks as required.
- Ensure comfort for walk-in clients while they await their appointments.
- Conduct regular audits of client charts for compliance.
- Facilitate client intakes and admissions.
- Upload essential documents into the electronic medical records system.
- Support the collection of staff invoices for payroll processing.
- Assist in updating the agency's policies and procedures as necessary.
- Ensure compliance with all relevant legal and regulatory requirements.
- Provide documentation management support for insurance claims and referrals.
- Oversee critical incident reporting and safety protocols.
- Consult on ethical issues and assist in resolving dilemmas appropriately.
- Update marketing materials for staff and clients.
- Coordinate scheduling and administration of staff meetings.
- Support clinical and medical staff in compliance and utilization procedures.
- Conduct regular audits of the facility and its resources.
- Audit assessment intakes for ongoing compliance.
- Perform additional tasks as required.
